Why Are You Still Running Your Business on OneDrive?

Over the last two pieces, we asked whether the intranet is dead (it isn’t, the lazy version of it is) and traced how it evolved from a static filing cabinet into an employee-driven digital workspace, owned jointly by IT, Comms & Brand, HR, and every department. This piece is the practical next step: if you’re running Microsoft 365, you may already own the tool that gets you there.

Every growing business hits the same wall. Files live in a dozen different OneDrive folders. Nobody’s sure which version of the proposal is the real one. A key contract is buried in someone’s inbox, and that someone just went on leave. Decisions get delayed because the information exists somewhere, just not anywhere anyone can find it in time.

If that sounds familiar, you’re not alone. It’s the default state for most organisations running on Microsoft 365, and it’s rarely a technology problem. It’s a setup problem.

Here’s the part most business owners don’t know: if you’re on Microsoft 365 Business Standard or Business Premium, you already own SharePoint. You’re not paying extra for it. You’re just not using it, and OneDrive alone was never designed to do what SharePoint does.

OneDrive and SharePoint solve different problems

OneDrive is personal storage. It’s your filing cabinet built for one person to store, sync, and share their own files. SharePoint is a shared, governed workspace built for a team or a whole organisation to manage information together, with structure, permissions, and findability built in.

Used together properly, OneDrive is where you draft. SharePoint is where the business keeps what matters.

Why this matters more in 2026 than it did five years ago

Three things have changed the stakes:

1. Hybrid and remote work made “ask the person who knows” unreliable. When your team was in one office, tribal knowledge worked well enough. When your team is distributed, undocumented, ungoverned information becomes a daily tax on productivity and a real risk when people leave.

2. AI tools only work as well as the information you feed them. Microsoft 365 Copilot and similar AI assistants are only as good as the content they can see and trust. Point AI at a chaotic pile of personal OneDrive folders with no structure, no permissions logic, and duplicate versions everywhere, and it will confidently give people the wrong answer. Point it at a well-governed SharePoint environment, and it becomes genuinely useful. An intranet and proper ECM aren’t legacy concepts being phased out by AI they’re the foundation that makes AI safe and accurate to use.

3. Compliance and data risk expectations have gone up. POPIA, client due diligence, cyber insurance requirements, tender documentation, organisations are increasingly expected to show where information lives, who can access it, and how long it’s retained. “It’s somewhere in OneDrive” doesn’t hold up to that kind of scrutiny.

  • Company culture and communication – a home for news, recognition, and updates that isn’t buried in an email inbox
